Job Description

Position Summary:

The Admission Counsellor & Operations Executive is responsible for managing the entire admissions process, including counselling prospective students and handling backend operations. The role requires effectively guiding applicants through the admission process, addressing their queries, and maintaining strong relationships with students and parents. Additionally, the person will be responsible for processing applications, managing data, and coordinating with various departments to ensure smooth admission operations.

Key Responsibilities:

1. Student Counselling & Guidance:

Respond to inquiries from prospective students via phone calls, emails, and in-person meetings.

Provide detailed information about programs, courses, admission requirements, and the application process.

Assist students in selecting suitable programs based on their academic background, interests, and career goals.

Conduct campus tours for prospective students and parents, showcasing university facilities.

Follow up with prospective students to ensure timely submission of applications and documents.

Address concerns and queries from students and parents throughout the admission process.

2. Application Processing & Admission Operations:

Manage the backend operations of the admission process, ensuring the smooth processing of applications.

Verify and review application forms, supporting documents, and eligibility criteria.

Coordinate with internal departments to facilitate admission decisions, including document verification and fee processing.

Maintain and update the admissions database, ensuring accurate and up-to-date records.

Prepare reports and admission statistics for management review.

Ensure compliance with university policies and regulatory guidelines during the admission process.

3. Communication & Coordination:

Serve as the primary point of contact between the admissions office and prospective students, parents, and other stakeholders.

Communicate admission offers, deadlines, and other important information to applicants.

Coordinate with academic departments, finance teams, and other administrative units to facilitate the admissions process.

Assist in organizing and conducting admission-related events such as webinars, open houses, and orientation programs.

4. Marketing & Outreach Support:

Support admission campaigns by participating in outreach activities, school visits, and education fairs.

Assist the marketing team in creating admission-related content for brochures, emails, and social media.

Identify and nurture partnerships with schools and external organizations for student referrals.

5. Compliance & Documentation:

Ensure that all application and admission processes are conducted in compliance with university policies and government regulations.

Maintain accurate documentation of student records, admission forms, and other related documents.

Handle sensitive applicant information with the highest level of confidentiality and security.

Desired Qualifications:

Bachelor's / Masters degree or equivalent in a relevant field.

Strong communication and interpersonal skills.

Knowledge of educational programmes and admission procedures.

Skills and Competencies:

Strong communication and interpersonal skills to effectively interact with students, parents, and stakeholders.

Excellent organizational and time management skills to handle multiple applications and tasks efficiently.

Proficiency in managing admission databases, CRM tools, and MS Office Suite.

Attention to detail with a focus on accuracy in processing applications and managing records.

Knowledge of university admission policies and regulatory guidelines.

Ability to handle sensitive information with discretion and maintain confidentiality.

Problem-solving skills and the ability to work both independently and as part of a team.

Qualifications and Experience:

Bachelor’s Degree in any discipline (Master’s Degree preferred).

Additional certifications in counselling, administration, or CRM systems will be an advantage.

3-5 years of prior experience in counselling, outreach or related roles.
