An ERP Inventory Coordinator is responsible for managing and overseeing inventory processes within an organization using Enterprise Resource Planning (ERP) software. The primary goal is to ensure that inventory is tracked, recorded, and optimized, helping to maintain an efficient supply chain and meeting production or sales requirements. Below are the key responsibilities typically associated with this role :
Key Responsibilities:
1. Inventory Management: o Maintain accurate inventory levels in the ERP system to ensure stock availability and prevent overstocking or stockouts. o Track and monitor inventory movements, including stock receipts, transfers, and shipments.
2. ERP System Utilization: o Ensure that the ERP system is updated with real-time data on stock levels, orders, and transactions. o Generate and analyze reports from the ERP system to track inventory performance, trends, and discrepancies.
3. Stock Replenishment: o Monitor inventory levels and trigger stock replenishment based on sales demand, minimum stock levels, and lead times. o Coordinate with suppliers and purchasing teams to ensure timely and accurate stock replenishment.
4. Data Entry and Record Keeping: o Enter and update product information (such as product codes, descriptions, and prices) in the ERP system. o Ensure the accuracy and consistency of inventory data between the ERP system and physical stock.
5. Inventory Audits: o Conduct regular physical inventory counts (cycle counts or full stocktakes) and reconcile with ERP records. o Investigate and resolve discrepancies between physical inventory and ERP data.
6. Supplier and Vendor Communication: o Communicate with vendors to track orders, delivery schedules, and any issues related to stock procurement. o Handle returns or exchanges of damaged goods or incorrect deliveries.
7. Stock Optimization: o Work with other departments (such as procurement and logistics) to optimize inventory storage, organization, and stock rotation. o Identify slow-moving or obsolete inventory and take appropriate action to reduce excess stock or improve stock turnover.
8. Process Improvement: o Suggest and implement process improvements to enhance inventory accuracy, reduce waste, and streamline operations. o Stay updated on ERP system upgrades and inventory management best practices.
9. Compliance and Documentation: o Ensure compliance with inventory and warehouse management regulations. o Maintain all necessary documentation related to inventory transactions, purchases, and audits.
10. Reporting: o Provide regular inventory status reports to management, highlighting any issues or areas for improvement. o Create and maintain reports for stock levels, stock turnover, and inventory aging.
