Job Overview:
The Manager of Operations in the Exhibition Industry is responsible for overseeing and managing the operational aspects of exhibitions and events. This role involves planning, coordination, ensuring smooth execution, and maintaining high standards of quality and efficiency in all operational processes related to exhibitions.
Key Responsibilities:
Exhibition Planning and Execution:
Lead the planning and execution of all operational aspects of exhibitions and events.
Coordinate with internal teams and external stakeholders to ensure seamless execution.
Collaborate with vendors and contractors to ensure timely delivery of services and materials.
Venue Coordination:
Work closely with venue management to address event requirements and ensure a conducive exhibition environment.
Manage relationships with venue staff and address any on-site challenges during events.
Team Leadership:
Lead and manage a team of operations staff, including set-up crews and logistical support teams.
Provide training and support to ensure the team is well-prepared for exhibition activities.
Vendor Management:
Identify and onboard new vendors based on organizational needs and standards.
Develop and maintain strong relationships with vendors, ensuring timely delivery, quality, and cost-effectiveness.
Conduct regular vendor performance reviews and address any issues or concerns.
Client Coordination:
Act as a primary point of contact for clients, understanding their requirements and expectations.
Coordinate with internal teams ( sales,marketing,accounts) to ensure the timely delivery of products or services to clients.
Communicate effectively with clients to provide updates, gather feedback, and address any concerns.
Quality Assurance:
Implement and maintain quality control measures to ensure the highest standards in exhibition execution.
Conduct post-event evaluations to identify areas for improvement.
Budget Management:
Develop and manage budgets for exhibition operations, ensuring cost-effectiveness and adherence to financial guidelines.
Negotiate contracts & Costs with vendors and service providers.
Compliance and Safety:
Ensure compliance with safety regulations and industry standards during exhibition setup and operation.
Work with relevant authorities to obtain necessary permits and approvals.
Technology Integration:
Utilize technology solutions for efficient exhibition planning and management.
Stay updated on industry trends and incorporates innovative technologies when applicable.
Qualifications:
Bachelors degree in Event Management, Hospitality, Business Administration, or a related field (Masters degree preferred).
Proven experience in exhibition/Wedding Planning/ Events operations management.
Proven experience in vendor management and client coordination.
Strong negotiation and contract management skills.
Excellent communication and interpersonal skills.
Ability to work collaboratively in a cross-functional team environment.
Detail-oriented with strong organizational and problem-solving abilities.
Strong organizational and project management skills.
Proficiency in relevant software applications for event planning.
Good hands on Experience in Microsoft Office and Excel
