Role & responsibilities
Data Management:
1. Maintain and update marketing databases, including patient records, contact lists and referral sources.
2. Ensure data accuracy, completeness and compliance with data protection regulations.
Document Management:
1. Assist in the creation, organization and filing of marketing materials, reports and documents.
2. Ensure easy retrieval of marketing collateral and information.
Scheduling and Coordination:
1. Schedule meetings, appointments and marketing events as directed by the marketing team.
2. Coordinate logistics for marketing events, including booking venues, managing RSVPs and preparing materials.
Communication Support:
1. Assist in handling and forwarding inquiries, emails and phone calls from patients, referring physicians and other stakeholders.
2. Help draft and send communication materials such as newsletters, emails and promotional messages.
Financial Record Keeping:
1. Support budget management by tracking expenses, processing invoices and ensuring financial documentation is complete and organized.
Reporting and Analysis:
1. Assist in collecting and organizing data for marketing performance reports.
2. Participate in data analysis tasks to assess the effectiveness of marketing campaigns.
Inventory Management:
1. Maintain an inventory of marketing materials, brochures and promotional items.
2. Place orders for additional materials as needed.
Compliance and Documentation:
1. Ensure that all marketing activities adhere to legal and ethical standards, including patient privacy regulations.
2. Maintain records of marketing compliance documentation.
Required Skill Sets:
1. Strong organizational and time management skills.
2. Proficiency in using office software and data management tools.
3. Excellent communication skills for coordinating with team members, stakeholders and vendors.
4. Attention to detail and accuracy in data management.
