The Office Manager in G2 Bengaluru is responsible for overseeing daily operations of the office to ensure a seamless office experience for the employees in India. This individual will work closely with the Senior Manager, Employee Success and the Global Employee Experience team to implement best practices in office management and foster an engaging workplace culture. This position is based in Bengaluru and requires in-office attendance with a 5-day workweek.
The main responsibilities will include:
- Office management: The individual will be responsible for working with the infrastructure service provider to ensure smooth running of the office.
- Event coordination: The second focus will be to partner with the business teams and coordinate G2 India s flagship events, such as the Mid-Year Meetup and G2 Live events, while also overseeing the execution of employee milestones like anniversary gifts and onboarding logistics for new hires.
- Operations optimization: Work with global teams to continuously optimize processes and identify areas of improvement
- Vendor management: The individual will manage vendor identification, negotiations and relationships for any employee requirements, support employee engagement activities, and manage budgeting for these initiatives to enhance the overall office experience
The ideal candidate will possess interpersonal communication skills, demonstrate organizational navigation skills with attention to detail, and possess the ability to manage multiple tasks autonomously and effectively. Its an in office role and the Office Manager has to provide coverage across shifts.
G2 India office operations
- Ensure smooth day-to-day office operations, including supplies, and visitor management.
- Oversee and coordinate with the Indiqube to ensure compliance and operational efficiency.
- Monitor and ensure maintenance of the G2office infrastructure as per agreements and the legal requirements.
- Provide efficient administrative support to leadership and employees by handling all administrative requests within 24 hours.
- Budget management for office related expenses and recommend adjustments based on previous year s spending patterns and anticipated requirements
- Drive best practices in office management
Responsibility Area: Employee engagement events & G2 event planning/execution support
- Plan and execute monthly /quarterly employee engagement activities/APAC All hands to foster a positive workplace culture.
- Take complete ownership of organizing G2 India Annual corporate meetups and support the Revenue team with G2-Live.
- Drive ERG and community events in the region to strengthen the unique G2 Culture in APAC.
- Coordinate the regional execution of employee milestones, including managing anniversary gifts, mementos, and new joiner swags.
- Oversee onboarding logistics such as ID card issuance, visiting cards, and other essentials to ensure a smooth onboarding experience for new joiners.
Responsibility Area: Process optimization and drive projects and Vendor management
- Review and assess current administrative office processes to identify opportunities for improvement and efficiency and be consistent with other regional offices.
- Develop and implement streamlined procedures for visitor management, vendor management, office infrastructure organization.
- Document all processes and policies on the Bangalore office Confluence page, ensuring they are regularly updated for accessibility and accuracy.
- Own and manage the Bangalore office Slack channel, acting as the primary point of contact for addressing and resolving office-related requests.
- Drive ad-hoc initiatives / projects as may be necessary from time to time.
- Manage relationships with external vendors and service providers to maintain quality standards.
Minimum Qualifications:
- 2-6 years of experience in office management, event coordination, or similar roles.
- Bachelor s degree in Business Administration or a related field.
- Strong organizational and multitasking skills with attention to detail.
- Ability to work independently and take initiative in a fast-paced environment.
- Proficiency in G Suite and familiarity with office management software/tools.
- Entrepreneurial spirit with a passion to question status quo and drive continuous improvement and create effective solutions
- Working knowledge of local and regional laws, regulations and best practices in office management
