Position Overview:
We are seeking a meticulous and proactive Bookkeeper to join our growing SaaS company. In this role, you will be responsible for managing the invoicing process, ensuring the accuracy of all billing, and overseeing payments via platforms like Stripe. You will handle payment follow-ups, reconcile transactions, and maintain up-to-date financial records.
Additionally, you will serve as a key financial partner to the Partner Marketplace (PM) team, providing valuable insights and support for financial decisions related to partnerships and revenue-sharing structures. Your role will involve ensuring smooth financial operations and helping optimise processes to improve overall efficiency.
This position is ideal for someone with experience in SaaS billing, a strong understanding of payment gateways, and the ability to collaborate closely with cross-functional teams. If you are detail-oriented and thrive in a dynamic environment, we invite you to apply.
Key Responsibilities:
Invoicing and Billing Management:
- Oversee and optimize the invoicing process, ensuring all invoices are accurate, properly categorised, and issued on time.
- Implement best practices to improve invoicing efficiency, ensuring a streamlined approach to billing.
- Regularly review and audit invoices for discrepancies and rectify any errors swiftly.
Payment Processing and Follow-Up:
- Monitor and track payments through payment gateways like Stripe, ensuring successful transaction completion.
- Follow up with clients on missed, failed, or overdue payments, and ensure resolutions are reached in a timely manner.
- Establish clear lines of communication with clients regarding their payment statuses, resolving disputes when necessary.
Stripe and Payment Gateway Management:
- Maintain Stripe and other payment systems, ensuring all transactions are processed correctly and on time.
- Troubleshoot issues related to payment failures, chargebacks, or refunds, and ensure they are resolved swiftly.
- Reconcile Stripe transactions with company financial records for accurate reporting.
Revenue Tracking and Reporting:
- Reconcile invoiced amounts with actual payments, ensuring books are up-to-date and accurately reflect the company's financial standing.
- Track monthly recurring revenue (MRR), churn, and other financial metrics relevant to a SaaS business model.
- Prepare regular financial reports on outstanding payments, cash flow, and revenue trends.
Financial Support for the Partner Marketplace Team:
- Act as a financial sparring partner for the Partner Marketplace (PM) team, offering insights and guidance on financial matters related to product development, app development, partnerships, commissions, and revenue sharing.
- Work with the PM team to ensure partner billing, invoicing, and payment structures are aligned with the company's goals and compliance standards.
- Provide financial data and analysis to assist the PM team in decision-making related to partner relationships and performance metrics.
Process Improvement:
- Continuously identify opportunities to enhance financial processes, including automating workflows, reducing errors, and improving accuracy in invoicing and payments.
- Implement tools and best practices to optimize the financial workflow, making it more efficient and scalable as the company grows.
Compliance and Documentation:
- Ensure all bookkeeping practices are compliant with local regulations and internal policies.
- Maintain accurate and up-to-date records of financial transactions, invoices, and communications with clients.
- Prepare documentation and reports for internal audits or external regulatory requirements.
Collaboration and Communication:
- Collaborate with cross-functional teams, including finance, customer support, and the PM team, to ensure alignment in financial practices and processes.
- Communicate effectively with both internal teams and external clients to resolve financial issues and foster strong relationships.
Subscription Management
- Subscription Adjustments: Manage changes to customer subscriptions (e.g., upgrades, downgrades, cancellations), ensuring that invoicing and payments align with the customer's current plan.
- Trial Period Tracking: Track free trials and ensure proper invoicing once the trial ends, preventing revenue leakage.
- Proration Calculations: Handle prorated charges when customers upgrade or downgrade mid-billing cycle.
Key Skills for SaaS Bookkeeping:
- Education: Bachelor's degree in Accounting, Finance, or related field; bookkeeping certification preferred.
- Experience: 4-5 years of bookkeeping, preferably in a SaaS or tech company.
- Skills: Expertise in invoicing, payment gateways (Stripe), and accounts receivable management.
- Software: Proficiency in accounting software (e.g., QuickBooks, Xero) and financial tools.
- Attention to Detail: Precision in tracking payments, invoicing, and reconciliation. Strong organisational and reconciliation skills.
- Proactive: Ability to work independently and resolve payment issues promptly.
- Communication: Effective communication with internal teams and clients.
- SaaS Knowledge: Familiarity with subscription billing and recurring revenue models.
- Analytical Skills: Ability to analyze revenue trends, churn, and key SaaS financial metrics.
- Proficiency in SaaS Accounting: Knowledge of revenue recognition rules like ASC 606 and familiarity with SaaS metrics.

1. Core SaaS Billing Expertise: Proficiency in managing invoicing, billing cycles, and payment gateways (e.g., Stripe) specific to SaaS products.
2. Financial Operations: Handling revenue tracking, subscription adjustments, MRR, churn analysis, and financial reporting. Overseeing Cloudify India accounts.
3. Technical Skills: Knowledge of accounting software (like QuickBooks, Xero), familiarity with SaaS-specific revenue recognition (e.g., ASC 606), and subscription-based billing systems.
