Job Description

Job Summary

We are looking for a detail-oriented and proactive Admin Executive to support our operations by managing administrative tasks related to sales, finance, and logistics. The ideal candidate should have strong organizational skills and the ability to coordinate with multiple stakeholders efficiently.


Key Responsibilities:


Sales & Order Management:

  • Process pending orders and ensure timely execution.
  • Assist in order processing and coordinate with relevant teams.
  • Maintain and track SSRs updates for active stockists.
  • Follow up on new stockist sales tracking and performance.
  • Handle new stockist appointments and documentation.

Finance & Expense Management:

  • Verify and process expense claims for field staff.
  • Ensure timely expense completion, verification, and deductions.
  • Generate MIS reports related to expenses and financial operations.
  • Track and follow up with Managers & Branches for overdue payments (Doctors & Stockists).

Operational & Administrative Support:

  • Address branch unlocking requests and resolve them promptly.
  • Monitor stationery status (POB, working bags, etc.).
  • Oversee and update SFC sheets verification.
  • Manage sales support emails and queries efficiently.
  • Handle stock indent and ensure availability as per requirement.

Meeting & Travel Coordination:

  • Arrange and manage funds for cycle meetings, MDP, refresher programs, including fund calculation and bill submission.
  • Handle flight bookings for field staff and managers.
  • Maintain attendance and leave records of field staff during cycle meetings.

Reporting & Analysis:

  • Generate and maintain reports such as:
    • Bonus Circular updates.
    • Manager Call Average Reports.
    • DSR-NR Reports.

Qualifications & Skills:

  • Experience: 3-7 years in administration, sales support, or finance-related roles (preferably in Pharma).
  • Education: Graduate/Postgraduate in any discipline.
  • Strong coordination and follow-up skills.
  • Proficiency in MS Excel, MIS reporting, and data management.
  • Excellent communication and problem-solving skills.
