Job Title: Executive Assistant to Executive Director
Job Summary: The Executive Assistant will provide comprehensive support to executives, assisting in all work activities to enhance efficiency and productivity. This role combines administrative support, project management, and proxy responsibilities, requiring strong organizational skills and attention to detail.
Key Responsibilities:
1. Proxy Responsibilities:
- Represent the Executive Director in meetings and discussions when necessary, ensuring the Director's interests and objectives are effectively communicated.
- Make decisions on behalf of the Executive Director when authorized, upholding the organization's standards and vision.
2. Project Management:
- Assist in planning, executing, and overseeing projects from initiation to completion.
- Collaborate with various departments to gather project requirements and ensure alignment with organizational goals.
- Track project timelines, milestones, and deliverables, providing regular updates to stakeholders.
- Utilize project management tools to streamline processes and enhance team collaboration.
3. Research and Analysis:
- Conduct research and compile data to support decision-making.
- Analyze project outcomes and recommend improvements for future initiatives.
4. Communication and Coordination:
- Act as a liaison between the Executive Director, team members, and external stakeholders.
- Foster effective communication across departments to ensure project success.
- Assist in all work activities related to the executive's responsibilities, providing support where needed.
5. Administrative Tasks:
- Maintain organized filing systems and documentation for projects and executive communications.
- Prepare expense reports, budgets, and forecasts related to projects.
Qualifications:
- Bachelor's degree in business administration, management, or a related field preferred.
- Proven experience as an executive assistant, project manager, or in a similar role.
- Strong organizational and time-management skills.
- Proficiency in project management software and Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
Preferred Skills:
- Project Management Professional (PMP) certification or equivalent experience.
- Experience of 5-7 years in project management.
