Job Title: Office Admin


Job Summary:
We seek an experienced and proactive Office Administrator to manage and oversee day-to-day office operations and support the accounts department. The ideal candidate will have 1-3 years of experience handling office administration tasks, including managing facilities, corporate insurance, supporting the accounts department, and making travel arrangements. The Office Administrator will play a key role in supporting various departments and ensuring the smooth functioning of office administration.

Key Responsibilities:

  • Good knowledge of corporate health, accidental insurance of employees other corporate general Insurance.
  • Coordinate with the insurance company, TPO, and employees and manage all matters related to employee health insurance, accidental insurance, and other general insurance, including insurance claims and policy renewal.
  • Availability beyond office hours for any emergency, even on holidays, for any matters related to employees insurance and other requirements of the Company.
  • Maintain insurance records and provide necessary data to the accounts department per accounting needs.
  • Vendor management and vendor coordination.
  • Maintenance of accounting records in Excel related to insurance, facility, and vendors.
  • Demonstrate proficiency in MS Office, particularly in Advanced Excel and PowerPoint, for data management and reporting.
  • Assign access cards to new joiners, maintain proper records, and support onboarding.
  • Exhibit excellent verbal and written communication skills in handling internal and external communication.
  • Expertly handle multiple tasks, prioritize workloads, and manage time efficiently.
  • Manage office facilities, ensuring proper upkeep and coordination with relevant teams.
  • Booked and managed agendas, appointments, and meetings for team members and upper management.
  • Arrange and coordinate travel and accommodation for staff and management directly or via a travel desk.
  • Create, update, and maintain both paper and digital records, ensuring confidentiality and data accuracy.
  • Maintain office supply stocks and place cost-effective orders when necessary.
  • Provide administrative support to other departments when needed.
  • Submit timely reports, prepare presentations, and assist in proposal creation as assigned.
