We are seeking a highly organized and proactive Executive Assistant to support the President of India. This role requires exceptional administrative and organizational skills to manage calendars, coordinate travel, handle administrative approvals, and ensure the seamless flow of documentation and records.
Key Responsibilities:
Calendar Management:
Efficiently manage and coordinate the President's schedule, including meetings, appointments, and events.
Ensure timely reminders and updates for all engagements.
Travel Arrangements:
Arrange and coordinate all travel plans, including flights, accommodations, and itineraries.
Prepare travel expense reports and ensure all travel arrangements align with the President's preferences and requirements.
Delegation of Administrative Approvals:
Manage and delegate rights for specific administrative approvals.
Serve as the point of contact for approvals and ensure timely processing.
Document Management:
Handle the preparation, printing, and organization of documents for key meetings.
Maintain accurate records and ensure all documents are readily available and properly archived.
Meeting Preparation:
Prepare agendas and materials for meetings, taking detailed minutes and ensuring follow-up on action items.
Coordinate logistics for meetings, including venue arrangements and technical support.
Additional Responsibilities:
Address any other topics or tasks as directed by the President.
Act as a liaison between the President and internal/external stakeholders.
Provide support in various special projects and initiatives as needed.
Qualifications:
Bachelors degree in Business Administration or a related field preferred.
Proven experience as an Executive Assistant or in a similar role.
Exceptional organizational and time management skills.
Strong written and verbal communication abilities.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills and the ability to interact with stakeholders at all levels.
