Sales Coordinator Job Description:


We are looking for a detail-oriented sales coordinator to contribute to the achievement of sales targets by supporting sales representatives, coordinating sales activities, and maintaining good customer relationships. The sales coordinator's responsibilities include supporting sales, for developing new leads and convert them, ensuring order satisfaction, coordinating with other departments, motivating staff, handling administrative duties, and promoting customer satisfaction.
To be a successful sales coordinator, you should have excellent organizational, administrative, and problem-solving skills. You should also possess strong communication, interpersonal, and customer service skills.

Sales Coordinator Responsibilities:

  • Helping the sales team to improve their productivity by contacting customers to arrange appointments and ensuring all Sales Representatives have high-quality, up-to-date support material.
  • Handling urgent calls, emails, and messages, answering customer queries, informing them of delays, arranging delivery dates, and scheduling marketing events.
  • Handling orders by phone, email, or mail and checking the orders have the correct prices, discounts, and product numbers.
  • Inputting orders, ensuring they are processed according to customer requirements, and ensuring all orders are accurate and delivered on time.
  • Collaborating with other departments to ensure sales, marketing, queries, and deliveries are handled efficiently.
  • Developing and maintaining filing systems so as to maintain sales records, prepare reports, and provide financial information to the finance department.
  • Hiring and training sales staff and ensuring staff meets their quotas and goals.
  • Managing budgets for expenses like bonuses, marketing, and travel.
  • Making the company's products and services as attractive to potential customers as possible.
  • Ensuring adherence to laws, regulations, and policies.

Sales Coordinator Requirements:

  • A bachelor's degree in business administration or a related field.
  • Min 2 years experience in sales.
  • Experience as a sales coordinator or in lead generation may be advantageous.
  • Good team development and leadership skills.
  • Good administrative, organizational, and problem-solving skills.
  • Excellent communication, sales, and customer service skills.
  • The ability to multitask, work in a fast-paced environment, and meet deadlines.
  • Current knowledge of industry trends and regulations.
  • Good computer skills (MS Office)

Job Summary:
The Sales Coordinator plays a crucial role in supporting the sales team by coordinating sales activities, managing documentation, and ensuring effective communication between the sales team and other departments. The Sales Coordinator is responsible for handling customer inquiries, processing orders, preparing sales reports, and assisting in the execution of sales strategies. This role is key to ensuring that the sales team can operate efficiently and achieve their targets.
Key Responsibilities:

  1. Sales Support and Coordination
    • Provide administrative support to the sales team, including scheduling meetings, preparing documents, and managing correspondence.
    • Assist in the preparation of sales proposals, contracts, and presentations for clients.
    • Coordinate and manage the sales teams calendar, ensuring timely follow-ups and client meetings.
    • Serve as a point of contact for clients, responding to inquiries, and providing information about products and services.
  2. Order Processing and Management
    • Process and manage sales orders, ensuring accuracy and timely delivery of products and services.
    • Coordinate with the logistics and operations teams to ensure that orders are fulfilled and delivered according to schedule.
    • Monitor and track the status of orders, updating clients and the sales team on any changes or delays.
    • Handle any issues related to order processing, such as product availability, pricing discrepancies, or delivery concerns.
  3. Sales Reporting and Analysis
    • Prepare regular sales reports, including tracking sales performance, revenue, and other key metrics.
    • Analyze sales data to identify trends, opportunities, and areas for improvement.
    • Assist the sales team in forecasting sales targets and preparing budgets.
    • Maintain and update sales databases and CRM systems, ensuring accurate and up-to-date information.
  4. Customer Relationship Management
    • Build and maintain strong relationships with clients, ensuring a high level of customer satisfaction.
    • Assist in resolving customer complaints or issues, escalating them to the appropriate team members as necessary.
    • Coordinate and follow up on client feedback to improve service delivery and customer experience.
    • Support the sales team in managing key accounts, ensuring that client needs are met and exceeded.
  5. Event Coordination and Marketing Support
    • Assist in organizing and coordinating sales events, trade shows, and promotional activities.
    • Collaborate with the marketing team to develop and distribute sales and promotional materials.
    • Manage the logistics of sales events, including booking venues, arranging travel, and coordinating with vendors.
    • Support the implementation of marketing campaigns and initiatives to drive sales growth.
  6. Team Collaboration and Communication
    • Facilitate communication between the sales team and other departments, such as marketing, finance, and operations.
    • Ensure that the sales team has the resources and information needed to perform effectively.
    • Participate in sales meetings, providing updates on sales activities, order status, and customer feedback.
    • Assist in training and onboarding new sales team members.
  7. Compliance and Documentation
    • Ensure that all sales activities comply with company policies, legal regulations, and industry standards.
    • Maintain and organize sales documentation, including contracts, agreements, and client records.
    • Assist in the preparation and submission of reports to management and regulatory authorities.
    • Ensure that all client and sales data is handled with confidentiality and integrity.

Qualifications:

  • Education: Bachelors degree in Business Administration, Marketing, Sales, or a related field.
  • Experience:
    • 2-4 years of experience in a sales support or coordination role.
    • Experience with CRM software and sales reporting tools is preferred.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems.
    • Ability to work under pressure and meet deadlines.
  • Personal Attributes:
    • Detail-oriented with a focus on accuracy.
