Job Description

Job Title: HR Admin Executive


Job Type: Full time


Roles & Responsibilities


HR Duties:


  • Manage Company licenses validity
  • Manage Insurance Medical and Office
  • Handle Recruitment (end to end, sourcing, screening, conducting)
  • Monitor TMS Attendance
  • Monitor Leave Management
  • Monitor Expenses Management
  • Handle On Boarding (orientation, welcome new staff)
  • Handle Off Boarding (Exit interview, etc)
  • Assist in Performance Management (confirmation, poor performance, and yearly appraisal)
  • Monitor all HR admin documents proper filling (e-copy upload into KEKA and HR admin folder)
  • Handle HR-related inquiries and provide necessary support or redirection to employees
  • Prepare monthly payroll input sheets by validating attendance reports and ensuring data accuracy.
  • Utilize HRMS software to manage and update staff data, maintain employee records, and generate reports as needed
  • Source and evaluate suppliers for various office requirements, ensuring quality and cost-effectiveness
  • Support the performance review process by assisting in scheduling, data collection, and tracking progress
  • Help managers implement performance improvement plans and provide ongoing employee feedback

Administrative Duties:


  • Provide administrative support to Senior management or different departments
  • Coordinate with origins Food and Travel on their travel to India
  • Coordinate with documents/asset sending or receiving couriers from vendors /stakeholders/ employees.
  • Maintain and organize office files, Records and Documentation
  • Order and Manage office supplies inclusive of stationary, Printer accessories, Pantry requirements like water and Coffee machine raw materials and equipment on a timely basis (Biweekly/Monthly)
  • Oversee Office Maintenance inclusive of total workspace and liaise with vendors as needed
  • Issue and Maintain records on used and available parking slot for two-wheeler as well as four-wheeler.
  • Maintenance of Housekeeping Attendance
  • Regular check on the A/C service and maintenance of records on the same
  • Maintenance of the Cabin and Cupboard keys
  • Coordinate with Housekeeping on the watering schedule for the inhouse plants
  • Manage Employee Engagement (yearly Dinner and Dance, Team bonding, etc)
  • Organize all office events and celebrations, including overseeing decorations
  • Handle office-related inquiries and resolve any issues that arise including Coordination with building Management
  • Any ad-hoc job assigned by superior from time to time

Qualifications :


  • Any UG is preferred (Bachelors degree in Business Administration, Management, MBA (HR) or a related field preferred)
  • Proven experience (2- 3 years) as a HR & Admin.

Skills Required


  • Strong knowledge of HR functions (recruitment, onboarding, employee relations
  • Strong organizational and multitasking abilities
  • Proficiency with HRMS & MS Office (Word, Excel, PowerPoint)
  • Excellent verbal and written communication skills
  • General Administration skills
  • Ability to handle confidential information
  • Ability to work independently and as part of a team
  • Flexibility and adaptability in a dynamic work environment

Working Conditions


  • This is a full-time, on-site position based in Chennai
  • Working days are Monday to Friday
  • Work Timings are 09.30 AM to 06.30 PM (1 Hour break)
  • Requires 10% to 20% Travel inside Chennai
