Job Description
- Post business transactions, process invoices, verify financial data for use in maintaining accounts payable records
- Provide other clerical support necessary to pay the obligations of the organization
- Maintain meticulous records of outstanding payables
- Ensure the accuracy of an organization s financial documents for payment, auditing and tax purposes
- Protect businesses against unintentional overpayment
- Practice effective monitoring to ensure payments are made to vendors in a timely manner
- Clarify any questionable invoice items, prices or receiving signatures
- Assemble and review invoices to be completed for payment
- Seek approval of invoices from relevant departments before issuing payment to vendors
- Prepare payment runs for review
- Maintain copies of vouchers, invoices or correspondence necessary for files
- Obtain proper information and/or data regarding invoice payments
- Check vendor files for any previous payments
- Post bank transactions and reconcile bank statements
- Managing credit card accounts including administration for new and replacement cards, monitoring card usage, reconciling monthly statements, uploading monthly statements, reviewing and posting coded transactions and resolving any problems.
- Review and approve expense claims submitted in Concur to ensure expenses are accurately uploaded into Netsuite
- Act as the primary contact for vendors and internal departments
- Ensure month-end tasks are completed accurately and on time in accordance with departmental deadlines, including ledger reconciliations and ensure these are signed off in Floqast
- Assist in training the junior members of the AP team
- Build strong relationships with internal stakeholders by being a business partner to them
- Responsible for the maintenance of Concur, ensuring that company and employee details are accurate to enable effective expense recording and reporting
- Experience with NetSuite is preferred.
- Experience with Concur is preferred
- Proficient in Excel and other Microsoft Office suite products.
- Ability to work autonomously and be part of the broader team
- Appropriate handling of sensitive information
- Excellent time management and organizational ability
- High level of attention to detail
- Strong client relationship management and customer service skills
- Team player with the ability to communicate and coordinate with multiple parties
- Intermediate to advanced computer software skills, including Excel and other accounting packages
- A degree in the following subjects would be beneficial:
- Finance or Economics
- Business Studies
- Accounting
- 5 + years experience in similar role
- Travel may be required.
