Job Description

Position: Associate - Front office & Administration

Location: BKC, Mumbai


Experience: 4+ years

  • Handle the Front Office area which includes attending calls, visitors, candidates, etc. and managing booking of conference rooms.
  • Petty cash management for office assistants and self. Checking and verifying of cash vouchers for all staff before submission to the finance team.
  • Parking & Travel coordination (Flight/Train/Bus Ticket, Hotel, Venue Booking)
  • Vendor Management
  • Office Facility and Infrastructure maintenance.
  • Managing Inventory for Office (Stationery, Promotional/Branding Material, Pantry Material, IT Assets), Facilitate the employees at the time of joining with respect to seating arrangement/Telephone/Desktop/Laptop/Employee ID card.
  • Managing Housekeeping Staff, Security Staff and other cleaning staff. Ensuring the premises are clean and hygienic all the time.
  • Manage AMC of various services
  • Support Management in providing data and reports as and when required.
  • Overall supervision of complete FM operations which includes supervision of general maintenance activities like deep cleaning, pest control, pantry service, horticulture, façade cleaning, carpentry works, plumbing works, electrical works, office sanitization and any other Admin related repair & maintenance.
  • Coordination with other admin executives for submission of location wise admin operative MIS.
  • Travel at least 25% of the time as per managements requirements for field work, site visits, visit to departments, local authorities, booking venues etc.

Required Skills:

  • Ability to manage housekeeping, security staff
  • Should be proactive and smart in approach in dealing with vendors.
  • Excellent Communication Skills
  • Excellent knowledge of working with MS Office Package
  • Result oriented, energetic and able to make decisions and work independently.
